Questions about the checklist editor

How saving, sharing, printing and the templates work, and what happens to what you type. Short answers first, details below.

Saving

Do I need an account to save a checklist?

No. Every change is saved in your browser on this device and appears under "Saved on this device". When you come back to the same template, your list opens where you left it. There is no sign-up and nothing is stored on our servers.

Why are my lists missing on my other phone or computer?

Because they are saved in the browser where you made them, not in an account. To move a list, press Share link and open the link on the other device; it opens as a copy that is then saved there.

How do I delete a saved list?

Open "Saved on this device" and press Delete next to the list. Clearing your browser’s site data for checklists.tools removes all of them at once.

Is there a limit to how many lists I can keep?

The editor keeps up to fifty lists on a device and up to three hundred items in one list. Older lists beyond fifty are dropped, starting with the one changed longest ago.

Sharing

How does sharing work without a server?

Share link packs the whole checklist into the address, after the # sign. Browsers do not send that part to any server, so the list goes straight from you to the person you send it to. Anyone with the link can read it.

Does the other person see my changes?

No. A share link is a snapshot. The person who opens it gets a copy; changes on either side stay on that side. Send a new link after big changes.

Why is the link so long?

Because the whole list is inside it. Longer lists make longer links. Most chat apps and e-mail handle them fine; if one cuts the link, use Copy as text instead.

Is a share link private?

Only as private as the place you send it. Anyone with the link can read the list, so do not put passwords, account numbers or personal data in a list you share.

Editing and printing

How do I edit or remove an item?

Press the pencil next to an item to edit it, then Enter to save or Escape to cancel. The × button removes it. On a larger screen, the arrows move it up or down inside its section.

Can I start from a blank checklist?

Yes. Press New blank list, give it a title and add sections and items. You can also open any template and delete what you do not need.

What does Duplicate do?

It saves a copy of the current list under a new name, with the same items and ticks, so you can keep a version per trip, house or new hire.

Can I print a checklist?

Yes. Press Print and the browser prints a clean sheet: the title, the sections and an empty box for each item, without menus or buttons. Ticked items print with a tick. Page setup picks Letter or A4, the margins, compact or write-in rows and one or two columns, and shows about how many pages it will take.

What does Untick all do?

It clears every tick and keeps your items, ready for the next time you run the same list.

Page setup

How do I fit a checklist on fewer pages?

Press Page setup next to Print. Compact rows, narrow margins and two columns fit the most on a page; the preview and the page count change as you switch. The count is an estimate from the same sizes the print uses; the print preview of your browser has the final word. In the print dialog, keep the scale at Default and choose the same paper.

Can an item be cut in half between two pages?

No. Each item prints whole on one page and a section title always stays with its first item. With "Keep sections in one piece" on, a section that does not fit moves to the next column or page instead of being split.

What are the clipboard and write-in options?

Clipboard adds 25 mm (about an inch) to the top margin so the clip does not cover the title. Write-in rows are taller with darker lines for notes by hand, and "Blank lines" adds three or six empty rows with a box under each section, for items you add on paper.

Can I print an empty copy of a list I have already ticked?

Yes. In Page setup, turn on "Print every box empty". The paper shows every box empty and no item crossed out; the ticks on screen stay as they are.

Time estimate

How long will my checklist take?

Press Time estimate. Each item counts as quick, standard or long, guessed from its wording or picked by you, and each size is worth the minutes you set (5, 15 and 45 to start). The page adds up the items not yet ticked, per section and in total, and updates as you tick.

How does the page guess the size of an item?

From its wording only. A join is a comma, a semicolon, "&", "+" or the word "and" or "then". Up to four words with no join is quick. Thirteen words or more, or six words or more with at least two joins, is long. Everything else is standard. Pick another size in the menu next to an item and the estimate uses yours.

Is the time estimate accurate?

It is as good as the minutes you set. The page cannot know how long a task takes you: it multiplies the items left by the minutes for their size and adds them up. "Time a day" divides what is left by the minutes you can give the list each day and rounds up to whole days.

Are the sizes and minutes kept?

Sizes you pick are part of the list, so they are saved with it and travel in a share link. Your minutes and your page setup are saved in this browser, next to your lists, and are not sent anywhere.

Due dates and calendar

Can I get my checklist into my calendar?

Yes. Press Due dates, pick a date beside the items that have a deadline, then choose Download .ics. Every dated item that is not ticked becomes an all-day event with a reminder in the file, which you open in Apple Calendar, Outlook, Google Calendar or any app that reads .ics. No account is needed and the file is made in your browser.

Can the dates follow the day of my event, like 8 weeks before the move?

Yes. Press Due dates, enter the day of the event, then pick how long before it each item is due, from "1 day before" to "26 weeks before" or "After" it, or set a whole section at once. Every date is worked out from the event day, so if the day changes you change it once and all the dates move. The moving checklist starts with these offsets already filled in. A date you pick by hand on an item replaces its offset.

What happens to the offsets without an event day?

They are kept and shown as "8 weeks before" next to the item, on screen, on paper and in Copy as text. No date is made up: an item gets its date only when you give the list an event day. They also travel in a share link, with the event day.

What does the calendar file contain?

One all-day event per item that has a date and is not ticked: the item as the title, the list and section in the notes, and a reminder at 9:00 on the day, at 9:00 the day before, or none. Ticked items and items without a date are left out. Events are marked as free, so they do not block your day.

Do the dates travel in a share link and print on paper?

Yes. A date is part of the list: it is saved with it, goes inside a share link and prints at the end of the item’s row. Copy as text adds it after the item, like “(due 2026-10-25)”.

Does the calendar update when I tick an item?

No. The file is a one-time export, not a live feed. Tick items, then download a new file to leave out what is done. Your calendar app keeps the events it already added.

The templates

Who writes the templates?

We do, as starting points for a general case. They are meant to be edited: delete what does not apply and add what is missing.

Why do some templates cite a source?

Items about safety are copied from a government page and the page is linked under the list, with the day we opened it. The emergency kit comes from Ready.gov and the smoke alarm item from the U.S. Fire Administration. Safety items without such a source are left out.

Are the checklists advice?

No. They are reminders. For medical, legal, financial or safety decisions, follow a professional or your local authority.
